
Community Center
The South Prairie Community Center is a public civic facility located at 350 Highway 162, South Prairie, WA. The facility is managed by the Town Clerk and is available for community events, private gatherings, and non-profit functions, provided they do not conflict with official Town-sponsored events and programs.

Facility Amenities & Operating Rules

Capacity: Attendance must not exceed the building's maximum fire capacity of 75 people.

Kitchen Access: Renters have access to kitchen amenities, including a refrigerator, microwave, stove, and dishwasher.

Event Timing: All events—including complete facility clean-up—must be finished and concluded by 10:00 p.m.

Strictly Prohibited Items: Smoking, chewing tobacco, alcohol, fireworks, fog or smoke machines, rice, birdseed, confetti, and glitter are strictly prohibited on the premises. Bringing any of these items will result in immediate forfeiture of the damage deposit.

Decorations: Only freestanding decorations are allowed. Nothing may be taped, tacked, or otherwise affixed to the walls, ceilings, or windows; use of adhesives will result in deposit deductions.

Non-Profit Discount: Federally or state-registered non-profit organizations are eligible for a 50% reduction in the rental fee. Town staff reserves the right to request proof of non-profit status.

Resident Memorial Exception: Applicants living within the Town limits of South Prairie may reserve the facility for memorial services at no rental charge. However, the standard damage deposit is still required, and an additional $25.00 fee applies for kitchen use.

Step-by-Step Rental Process
Step 1: Check Eligibility and Booking Window
Ensure that the primary applicant is at least 18 years of age. Reservations are accepted up to one year in advance. When completing your application, ensure your requested time includes all setup, rehearsal, and takedown/cleaning hours.

Step 2: Procure Required Liability Insurance
Applicants must secure comprehensive general liability insurance before a reservation date can be confirmed. The policy must meet the following criteria:

Coverage limits must be at least $1,000,000.00 per occurrence and $2,000,000.00 annual aggregate.

The Town of South Prairie must be named as an "additional insured" by policy endorsement.

The insurance must be primary and written with a company holding an A.M. Best rating of at least "A VII" or better, licensed in the State of Washington.

Step 3: Secure Permits and Equipment Approvals
If food is being sold during the event, you must provide a copy of a valid Food Handlers Permit. Additionally, any user-owned specialized equipment (such as animals or hazardous materials) requires separate, prior written approval from the Town.

Step 4: Submit Application and Fees
Deliver your completed Application Form, signed Rental Agreement, proof of insurance, and copies of any required permits to Town Hall.

Office Hours: Documents can be delivered between 10:00 a.m. and 5:00 p.m., Monday through Thursday.

Payment Timeline: All rental fees and deposits must be paid by check or money order (payable to the Town of South Prairie) at least fourteen (14) days prior to the event.

Cancellation Policy: Cancellations made more than 7 days prior to the event are subject to a non-refundable $25.00 fee. Cancellations made with less than 7 days' notice result in the forfeiture of the full rental fee and damage deposit.

Step 5: Key Pick-Up
The facility key can be picked up from Town Hall on the last business day before your scheduled event.

Step 6: Event Execution and Clean-Up
The primary applicant (or an authorized representative designated in writing) must remain on the premises for the entire duration of the event. Following the event, the renter is responsible for cleaning the entire facility, including the main area, restrooms, and hallways. Do not leave any garbage inside the building. All trash must be securely bagged, tied, taken outside, and thrown into the onsite dumpster.

Step 7: Key Return and Deposit Refund
The key must be returned to the Town within 24 hours after the event concludes. Following a facility inspection by Town personnel, your deposits will be processed if the building is clean and undamaged. Refund checks take approximately 40 working days to be sent out.
